🚀New Feature: Copy Children & Staff Between Centres

We’re excited to introduce a new feature for organisations operating multiple Centres. Organisation admins can now copy both child and staff records from one Centre to another, either individually or in bulk—saving time and eliminating the need to re-enter information.

Copying Children Between Centres

What gets Copied:

  • Child’s personal details
  • Address
  • Health details
  • Notes
  • All contacts
  • WINZ information
  • Documents

What does not get Copied:

  • Financial details (assigned fees, invoices, payments, etc.)
  • Past, present, or future bookings
  • Audit log history

How to Copy:

  • Go to Children Records
  • Select the child (or multiple children) you wish to copy
  • Click Actions → Copy Record
  • Choose the destination Centre

Important Notes

  • Once a child is copied, any changes made in the destination Centre (including status changes or deletion) will not affect the original Centre, and vice versa.
  • If copied contacts have kiosk PINs that are already in use in the destination Centre, the PINs for those contacts will be left blank. These can be set up from the Parent Access screen.

Copying Staff Between Centres

What gets Copied:

  • Staff’s personal details
  • Employment details
  • Emergency contact details
  • Contact information
  • Address
  • Qualifications
  • Documents

What does not get Copied:

  • Pay rates
  • Pay parity tracking
  • Roster and contact hours assignments

How to Copy:

  • Go to Staff Records
  • Select the staff member(s) you wish to copy
  • Click Actions → Copy Record
  • Choose the destination Centre

Important Notes

  • Once a staff member is copied, any changes made in the destination Centre (including status changes or deletion) will not affect the original Centre, and vice versa.
  • If the copied staff member’s kiosk PIN is already in use in the destination Centre, the PIN will be left blank.

📧 New Feature: WINZ Payment Import (CSV)

In line with Ministry of Social Development (MSD)’s initiative to go digital, we’ve introduced a new WINZ payment import functionality.

MSD now provides a CSV file alongside the PDF, and this new feature allows Centres to upload that CSV directly into Juniorlogs—significantly reducing manual data entry.

How to Upload:

  • Go to Finance & Accounts → Payments
  • Click Import WINZ Payments
  • Upload the CSV file provided by MSD
  • Review the imported information
  • Click Save

What happens after Upload:

  • Payments are automatically saved against the respective child records
  • If Payment Auto-Reconciliation is turned ON, the payments will also be applied to any pending WINZ invoices.

📝Enhancement: MoE calculation method added under Funding Projections

You can now choose how your funding projections are calculated in Juniorlogs.

Under Funding Projections, you’ll see a new field called Method, with two options:

  • MoE – calculates your projections using the MoE’s average-based calculation method.
  • Enrolments – calculates your projections using Juniorlogs’ enrolment and booking-based (actuals) method.

This update gives you the flexibility to align with MoE figures or continue using enrolment-based projections for forward planning.

🖊️ New Feature: Import Advanced Funded Hours from Funding Notice

Once you receive your funding notice in Pourato, you can now upload the CSV file into Juniorlogs to take out your actual advanced funded hours. This will help in eliminating manual data entry.

How to Upload:

  • Head into Funding Projections
  • Select the correct Funding Period
  • Click on the Actions button → Import CSV

📝 Improvement: More Control Over Calendar

The Calendar on the Dashboard is designed to show children and staff birthdays by default. It also allows you to add and save any notes for the day.

However, with so much information in a limited space, it can clutter. Therefore, a new setting has been introduced where if you want, you can turn off the birthday events shown on the calendar.

You can find this setting within Settings → Edit Centre → Dashboard.

🗂️ Improvement: Print Roster without Colour

You can now print the Roster or Contact Hours without colour, allowing you to save precious toner. When the print preview opens up, turn off background graphics to print without colour.

📱 New Feature: Correct Absences Directly from the Kiosk App

Made a mistake marking an absence? It’s quick and easy to fix — no extra admin work required.

How?

  • Access the Children Sign in/out page
  • Tap on the absent child
  • A pop-up will be displayed to confirm absence deletion
